Step-by-step process for mailings that exceed the 10-mailing limit
Using chapter operating funds to pay for postage
After a chapter sends out the maximum of 10 mailings, it can send additional mailings by using chapter operating funds to pay for the postage—provided the chapter has enough operating funds to cover the cost of the mailing.
(Note: Any mailings exceeding the 10-mailing limit must be sent to all members in the chapters; they can’t be segmented by ZIP Code or city.)
Here is how the chargeback process works:
- Chapter creates and submits the mailing.
- The chapter leader who submits the mailing and the chapter financial director receive an e-mail from Thrivent Financial asking to confirm that the leadership board has approved to use chapter operating funds for this mailing. The e-mail also includes the cost of the mailing. [how cost is determined]
- The chapter makes the final decision on whether to send the mailing:
- Choose “Reply with history” or “Forward” to fraternal@thrivent.com (it’s important to include the content of the previous e-mail). Provide your:
- Decision of whether to cancel or send the mailing
- Chapter name and/or number
- Name of the chapter mailing
- If you choose to cancel the mailing, the mailing will be returned to you, confirming your decision to cancel.
- If you choose to use operating funds to pay for the mailing, continue to Step 4. (Reminder: Make sure your chapter has enough operating funds available to cover the cost of the mailing.)
- Within two days of receiving your approval, Thrivent Financial will conduct the compliance review for content and approve your mailing for production.
- Within five business days of confirming your choice to send the newsletter:
- The financial director writes a check, in the amount quoted in the e-mail, made payable to: Thrivent Financial for Lutherans.
- Print a copy of the e-mail, which includes the name of the mailing and your chapter name and/or number. (Important: We need this information to appropriately credit the payment.)
- Mail the check and printed copy of the e-mail to:
