Volunteer Job Descriptions - Special Events |
|
School Store Volunteers Volunteers are needed on school store Fridays between 11am and 1pm to help the coordinator set up of the school store, assist children in evaluating what they can purchase with the points they have earned, and help pack up after the store closes. You may want to bring your lunch. Donations for the store are always welcome.
Teacher Meal Coordinator Each month we would like to coordinate a reward for all the hard work our teachers do. This could be lunch, breakfast or snacks for an afternoon or evening meeting. In addition, the PTL coordinates dinner for the teachers and staff working during evening conferences. This position is responsible recruiting food/dinner donations from families, set up and clean up of the area used for the meal/snack. It is important to make sure the kitchen is clean and ready for use the next morning. (Time commitment estimate: 1-2 hours per month or less.)
Scholastic Book Fair: Co-Chair Person Assist in coordinating the Scholastic Book Fair, recruiting and training volunteers, managing incoming funds, set-up and take-down of the fair. (Estimated time commitment: 3-4 hours during the week of the book fair.)
Book Fair Cashier Volunteer for 1 or more shifts to cashier during the book fair. Typical shifts available include: (Estimated time commitment: 1 ½ - 2 hours per shift.)
End of Year Picnic Coordinator Purchase food for the end of year picnic and help with set-up and clean-up. (Estimated time commitment: 2½ hours.
Social Events Coordinator Schedule, plan, and promote special family events. Examples from previous years include: roller-skating, bowling, etc. Target time-frame one event per semester. Time commitment estimate: 2 hours of planning per event (or less).

Volunteer Job Descriptions - Classroom |
Classroom Coordinators The classroom coordinators help recruit and organize other parents to help with specific activities, functions and events that happen throughout the year in your childs classroom. Some examples of how you might be asked to help include:
- Organize a classroom parties for a special holiday or occasion throughout the year. Recruit other parents to supply treats and help decorate.
- Take pictures and organize class pictures of special events.
- Recruit parents to assist with special projects, for example cutting materials and preparing a special art project for students in the lower grades; assistance with preparation for the annual Christmas Program, etc.
- Recruit and schedule field trip chaperones.
- Help with bulletin boards.
- Help with special or seasonal projects as requested by the classroom teacher.
Tutors and Aides Classrooms need people willing to spend one-on-one time with students at a variety of grade levels to assist with topics such as math, reading, and homework help in general. Other activities to assist teachers might include: bulletin board help, correcting papers, preparing assignments/hand-outs, etc. In addition, tutors/aids may periodically help with special classroom subjects or projects that require more individual attention. Tutor/Aides needed at various time throughout the school day and volunteer times can be flexible. See teachers for specific times or scheduling needs by grade.
Lunch/Recess Helpers Periodically help monitor students during lunch and recess times to allow teachers additional preparation time for classroom activities.
Business Presenters This year our middle school classes, 5th 8th grade will be learning more about the business environment. Do you have a job in Accounting, Finance, HR, IT, Marketing, Operations Management, Economics, Product Development & Research or any other business-related field? Share your talents and knowledge with our students in the classroom. (Estimated time commitment: 1 hour or more depending on what you are willing to share.)
Book Readers/Recorders We need people to read chapter books and record them onto cassette tapes. We have several books that need to be on tape. This will help students with lower reading abilities when these books are covered in class. Timing is flexible, the volunteer can do it at school or at home and they can do it at their own pace. There are one or two books needed right away but the rest will be used through out the year. Volunteer to read one book or several.

Volunteer Job Descriptions - Fundraisers |
Chocolate Fest Coordinator The coordinator is primarily responsible scheduling, promotion and oversight of the event. Specific responsibilities include:
- Establishes the operating budget (guidelines from previous years available).
- Publicize the event within Celebrations ministries and the community at large.
- Solicitation of donated desserts from local restaurants and businesses, as well as from school and ministry families. Past lists and leads are available.
- Arrange for the pick-up and drop-off of desserts
- Directs other lead volunteers to ensure all areas of preparation for Chocolate Fest are progressing in a timely manner and the event runs smoothly. Specific areas including but not limited to the overseeing of decorations, publicity, silent auction donations, ticket sales, set up and decorations, and clean up.
Chocolate Fest: Silent Auction Coordinator Coordinate classroom baskets for silent auction and assist with recruiting business donations for the auction from lists of past contributors. Establish the rules for the auction and communicate to attendees how auction will be run. Prepare bid sheets for the auction. (Recruiting donations and basket items usually begins 3-4 weeks before the event in February. Estimated time commitment: 5-6 hours)
Chocolate Fest: Classroom Basket Coordinator -- Choose a theme for the classroom basket, share the theme and gift suggestions with the other parents in the room, shop for gifts from cash donations, wrap, prepare bid list of items and deliver in time for Chocolate Fest. (Need at least one volunteer per classroom. Estimated time commitment: 1-2 hours or less. Time frame 1-2 weeks prior to Chocolate Fest usually held in April.)
Chocolate Fest: Decorations/Set-up Coordinator The Set-up / Decorations Coordinator works with the Chocolate Fest Coordinator to plan the overall set-up of the event including color scheme, table layout and more. This individual sources and purchases decorations, working within an established budget and coordinates the other volunteers assisting in this area. In addition, volunteers needed to set-up and decorate the Celebration Gym for Chocolate Fest. Planning for the event begins 4-6 weeks prior to the event in February. Estimated time commitment for the Coordinator: 4-6 hours. Set-up usually occurs the Friday before the event in February. Estimated time commitment for set-up volunteers: 1-3 hours.
Chocolate Fest: Tickets/Publicity This individual is responsible for the printing and distribution of tickets as well as for the collection of money for advance ticket sales and at-the-door ticket sales. This coordinator also helps with the notification of the event to other area churches and schools and to the local newspaper if warranted. This person also works closely with church/school staff to promote Chocolate Fest within Celebration to our church, school and childcare families. (Preparation begins 4-5 weeks prior to the event in February. Estimated time commitment: 5-6 hours.)
Chocolate Fest: Clean-up Crew These individuals help to ensure we end Chocolate Fest on a high note. Volunteers work to make certain the kitchen, sanctuary and other areas of the ministry used for the event are cleaned, including but not limited to vacuuming and spot carpet cleaning, mopping kitchen floor, chairs and tables are collapsed and returned to their original location, and if needed that chairs are set up for Sunday morning worship. (Clean-up occurs directly following the event in February. Estimated time commitment: 2-3 hours.)
Christmas Cookie and Candy Sale Coordinator Recruit cookie/candy donations, financial donations for baking and recruit volunteers to bake and help with the sale. Work would begins approximately 1 month prior to sale and require 2-3 hours for coordination and communications, 3-4 hours for baking day, and probably 3-4 hours the day of the sale depending on volunteer help.
Christmas Cookie and Candy Sale Volunteer Supply cookie/candy for financial donations, volunteer to bake for the event or volunteer to set-up, sell, and/or clean-up the day of the event. Time commitment estimate: 3-4 hours on baking day; 1-2 hours on sale day.
Pizza Sale Coordinator Schedule and publicize event, coordinate event with Childcare Center, compile order, work with product vendor to schedule pick-up date, recruit two volunteers to help the day of order delivery. (This fundraiser will take place in January. Total time estimate, 2-3 hours over several weeks throughout the fundraiser.)
Pizza Sale Delivery Day Volunteer Assist with order checking on delivery day and collection of money. (This fundraiser will take place in January. Total time estimate, 1 hour at the end of the school day.)
Inkjet Cartridges Coordinate assembly and packaging of inkjet cartridge containers. Recruit parents and local businesses to host donation boxes. (Time commitment estimate 1 hour every other monthly.)
Box Tops/Soup Labels Coordinate group of parent volunteers to trim, assemble, count and prepare Campbells Soup Labels and Box Tops for Education for return for reimbursement. To be done at Celebration. (Time commitment estimate 2 hours a month or less with more volunteers.)

Phone Calls We are also looking for several individual willing to make phone calls for other events/activities or special circumstances that periodically arrive. Phone calls go out specifically to Celebration families. If you would be willing to make phone calls periodically, please let us know.
Snow Shovel/Removal Help keep our sidewalks safe for students, parents, teachers and staff. We are looking for several individuals willing to help shovel/remove snow throughout the winter.
Technology Consultant Tech savvy person needed periodically to help with networking plan and to help with issues such as troubleshooting problems with classroom computers.
