Dottie Ferral opened the meeting with prayer at 7:00 p.m.
˙ Roberts Rules will be followed. Please submit agenda items 1-2 wks prior to each meeting. Dottie will be email the agenda prior to each meeting.
˙ Please provide written reports at meetings. E mail copies to Cec so they can be included in the electronic minutes more easily.

Dottie Ferral presented the list of the New Members that were admitted into the chapter. Nine benefit members, 1 associate members and 0 youth members for a total of 10 new members. MSA that they be admitted into Chapter membership. See Attachment 1.

Financial Report--Dolores Grinden
˙ Does not have a December 2009 hard copy of the financial report. 2 check were written in December 2009.
˙ Chapter Board will be receiving the amount of our Operating Funds on Jan. 18.
˙ There was about $600 left in Care Abounds in Communities on Dec 31st which Dolores added to the YCAP cantata project as that was the only remaining project that had not been completed and into which extra money could be allocated to.
˙ Audit needs to be done by February 28th but it is possible to arrange for an extension. Dolores will arrange with Charlotte and Nancy on when and where the audit will be held.
˙ Charlotte needs to be added to checking account.

President’s Report: Dottie Ferral

Additions to Agenda

˙ “Thank you” banquet planning continues.
o Corvallis area recognition dinner will be held at Peace Lutheran and catered by Valley Catering on February 13. Dottie is coordinating
o Cec will make plans at McMinnville for Feb. 6
o Feb 20th or 27th target date for the coast—
o Primary focus of this event will be thanking congregational coordinators whose role has now ended. We will take a brief opportunity to tell them what we know about the Congreational Advocates program that is being developed and about the Thrivent Choice program. Since the Board will not have training on this until March or April this information will be limited and we will let the volunteers know that we will try to update them later in the year.
o Dolores passed on the concern that was expressed regarding a congregation wanting their quilt batting and $100 bonus from Training sessions as in the past. Dolores will respond to the individual that quilt battings will be available to the congregations that want them regardless of attendance at the luncheons but the $100 bonuses will not be given this year.
˙ PICNIC: heads up, date and place need to be selected by next month. Cec will see if a shelter is still available at South Beach at the time her congregation has campsite reservations. Other members are to also think of alternative sites for a picnic.
˙ Dottie presented 2010 Important Chapter Dates—
˙ Gordon will present New Members in the future.

Addendum January 15, 2010 Dolores Grinden relayed that the Audit date has been set for March 6, 2010. It will be at her house beginning at 10:00am. Snacks, beverages and lunch will be served.

Gordon Kroemer opened the meeting with prayer at 7:00 p.m.

Julie Allberg announced Chapter Leadership training meetings for March 20 at the Grotto in Portland or April 10 in Eugene. Additional items mentioned were:

˙ All congregational coordinators will be removed from Thrivent Web Site February 15, 2010. All have received emails re becoming Congregational Advocates. Anyone interested should be filling out application on line asap.
˙ Each congregation can have a Lead Congregational Advocate and up to 3 per congregation . No minimum is required.
˙ Role training for advocates will be in webinar form and will probably be available by the end of February. Advocates will be able to also serve on Chapter Board.

˙ For every $5 earned in Care in Communities projects there should be about 1 volunteer hour.

˙ Each chapter should host 4 social/educational events per year.

˙ The Board should encourage use of Visibility Toolkit in order to promote Thrivent in the communities

˙ We need to remind those conducting events to calculate volunteer hours properly. Many are not crediting enough hours.

Gordon did not have the New Member list this evening. Cec motioned that New members as could be found on the Thrivent web page as of today be approved for membership. Seconded and approved. Cec will print list this evening at home.

o The Coastal luncheon will be at the Chowder Bowl in Newport on Feb. 27. Charlotte is continuing to work on this.
˙ PICNIC: Jan will contact Avery Park in Corvallis to make plans for a picnic in either July or August.
˙ Proposed budget was presented by Dolores and Nancy and approved as presented.

Gordon presented the New Member list this evening. Gordon moved that the 5 benefit, 4 associat and 2 youth members be admitted to the chapter. Seconded and approved. See attachment 1.

˙ February financial report presented and approved. See attachment # 2.
˙ Audit was completed succesfully and submitted to Thrivent. Delores was thanked for a job well done.
˙ Charlotte expressed concerns re “first come first served and that most of our money has beenallocated. Hx discussed and possibilities to be changing in the future.

Vice President’s Report: Gordon Kroemer
˙ States he purchased 50 crosses. He took them to the Coast luncheon and has not seen them since. Five wee distributed to St. Peter the Fisherman and several to Philomath. He will call restaurant to see if they were left ther.

Community Services Director’s Report: Nancy George

˙ $10,400 in requests this month but only 7730 available. MSA that each of the requests be halved bringing the total to $5200 which would leave us $2530 for the end of the year requests.

See Attachment #4: Care Abounds in Community Requests. T he approved requests are hand written in the column provided on the far right of the document. The totals at the bottom reflect the amounts prior to the new approvals. As above, the amount remaining for the year is $2530.

Membership Coordinator Report: Katrina
˙ Keeping up to date with welcome letters.

Old Business

˙ “Thank you” banquets very successful. Several very positive esponses were received from several people that were upbeat and thankful.
˙ Picnic plans: August 14 Avery Park @ Thompson Shelter reserved from 8 Am to 5 PM. Have a permit for sound. Cost $95. Save the date postcards will be sent out. Dottie will “do” Bingo games. Suggestion made that notices also be sent to each congregation so that it can be put on their church calendars.
˙ Confirmation crosses available from Dottie if Board members would like to take some to their congregations.
˙ Grotto Training is Mar 20; Training in Eugene is April 10th. Location to be determined still.

Director of Congregational Advocates: Addie Sahnow
˙ Not present
˙ Dottie read a letter from Addie Sahnow resigning from her position of Director of Congregational Advovcates due to medical issues. See Attachment 3. Charlotte will look into finding a replacement from the coastal region to help to balance the board with members throughout the area.
˙ Despite her resignation, Addie will be compiling a list of congregational advocates and leads based on information she will receive after sending out letters/emails to the 2009 coordinators. Dottie reports that the listing of congregational advocates is not yet on line to her knowledge after looking thoroughly on the Thrivent website this afternoon.

Community Services Director’s Report: Nancy George

˙ Karen Wetzel event was cancelled at her request. $1500 has been returned to our Care in Communities budget.

A request has been made that our Board help in sponsoring a dinner auction benefiting Bethesda Homes. Several chapters in the Portland/Vancouver are sponsoring the event at this time. $1600 has been requested from our chapter. There is no disclosure agreement. Board members are not aware of any chapter residents currently residing at Bethesda Homes now. MSA that $200 be budgeted for this event.

Communication Director’s Report: Jan Lane

˙ Postcard has been sent regarding summer picnic.
˙ We need to discuss the upcoming picnic in May so that information can be included in the next newsletter.

Membership Coordinator Report: Katrina
˙ Unable to attend because of a recent injury.

Old Business

˙ “Parenting classes. MSA that $600 be set aside to parenting classes. Cec will check cost of materials and email to Board. If cost is significant Board may opt to revote by email.
$320.97 from training recognition and remainder coming from planning meeting funds.
No interest at this time in Thrivent developed educational program.
Picnic plans (August 14) will be discussed in May. Dottie asked that Board members should review and select jobs they would like to do.

New Business

˙ Join Hands Day. Nancy has no further information available. May 1st. No Thrivent support. MSA that Board support any requests for funding out of our funding to the amt of $500 out of Board operating funds. Information memo sent out to 2009 coordinators by email regarding this.
˙ Thrivent Rep will be invited to Board meetings.

˙ Not present. No report. Dolores recently had knee replacement surgery and states she will submit report when next able.

˙ Has removed Addie as Congregational Advocate Director from the website

˙ Charlotte reported that she has not had success in finding a person from the coast who is willing to serve in this position. According to Julie we need a person in this position by the end of June or our Board will not receive the allotted Chapter Board funds in July.
˙ Addie did report (via Dottie) that she has at least one congregational advocate from15 congregations and she is still trying to hear from the remaining 8. See attachment 2

Community Services Director’s Report: Nancy George

˙ Georgia Herring at Peace, Philomath,--requests funding for an MVA victim, Karen Hopkins, for help with medical care by sponsoring a spaghetti dinner and pie sale for $1000 with $1000 matched by Thrivent. MSA
˙ Good Shepherd requests a postcard be mailed to provide information for an Identity theft program for Thrivent members to be held at Good Shepherd, Albany on June 26. MSA by Gordon that clarification be made that they want mailing service only and if they want additional mailing funds, We will vote on line.

˙ Requests articles for next newsletter due to go out in the next month.

Old Business

˙ Cec reports that St. John McMinnville has started the Simply Parenting class last Monday (May 3rd) with 3 in attendance. A child care provider is in place if needed but will be released if not needed after this evening’s class.
˙ Join Hands Day request from Faye Dallenbach. Working with Good Shepherd Albany Youth. Would like $500 to purchase and serve food and provide entertainment and service for Helping Hands meals for those in need at this shelter. MSA $500 provided from Chapter Board funds (as approved from the April 11 minutes)
˙ Picnic—August 14 in Corvallis
o Bonuses will be decided on depending on getting additional Board money in July.
o Dottie will “do” Bingo
o Will make further assignments at June meeting.
